2025 Friendship Group Convocation in Cancun

Questions to our Travel Advisor, Lora Ledbetter from a FG member.

 

1.  One of my group members has selected her room and paid her insurance for 2 occupants.  Question:  Is she supposed to receive an installment schedule, or does she decide what she pays each month starting January 1, 2025.  Also, how are the installment payments made, what are the options for payment? 

 

I can send out everyone who has booked, their payment schedule and amount due.   Notices will be sent approximately 5 days before the due date; the primary traveler will receive an invoice for the monthly payment.

 

2. Do the monthly payments have to be paid with the same credit card that was used to pay the initial insurance deposit? 

 

Each payment can be paid with a different credit card.

 

3.  Can each person occupying a room pay their own monthly installments? 

 

Currently, I have the full invoice going to the primary traveler.  If the travelers want to receive separate invoices, one person in the room needs to email me and request the invoice be separated.  

 

4.  What if one occupant in that room is late making their monthly installments what are the repercussions?  Is there a penalty?  

 

All payments are due on the 1st  day of each month.  If you are unable to pay by the due dates, I ask that you proactively reach out to me to discuss your plans to pay.

There is not a penalty, but reservations not paid in full on May 1, 2025, can potentially be cancelled due to missing the final payment date.

 

5.  The attachment you sent states " If the number of individuals occupying a room decreases, the remaining travelers will be responsible for additional costs incurred as a result of a change in the per occupancy rate”.     What does this statement mean? 

 

If the booking is originally made with 2 travelers, the cost for the room is cheaper than a room for a single traveler.  If one person drops, the room price is adjusted to 1 traveler, so the remaining traveler’s rate is more.

For example: A tropical room for 3 night is 619.40 per traveler for 2 travelers.   If 1 traveler drops, leaving 1 traveler, the price for that one traveler is $1045 for 3 nights.

 

 6.  How is the remaining traveler affected financially?  See example above.  Can the remaining traveler be added to another room that already has two occupants? 

 

Yes, the traveler can be added to a room with 2 travelers. They will be refunded according to the VPP plan. 

 

Example:  Reservation A has 2 travelers, Ann and Joe.  Reservation B has 2 travelers Brenda and Sue.  Joe decides he wants to cancel on Sue.  Sue says, “that’s fine, I will move to Brenda and Sue’s room”.  

 

Ann and Joe both had insurance on Reservation A and Reservation A is being cancelled so both receive refunds, according to their VPP plans.   Reservation B must now be re-priced for 3 travelers, Brenda, Sue and Ann.  Ann will have to purchase insurance again since her original insurance policy was used on the cancellation, but she is able to apply her credit/refund on her portion of Reservation B.

 

The better way to solve this issue it to get someone else to take Joe’s place and do a $50 name change on the reservation.

 

7.  What is the best way of paying the additional fees that we are obligated to pay when we check at the resort?  Do we do a money exchange, or should we use credit card?

 

You are required to put a credit card on file for incidentals.  The resort tax will be charged to the card on file that is used for checking.  No need to get pesos.
